Privacy Policy

Keptix is built for business owners, and we treat your business data the way we would want ours treated. This policy explains what we collect, why, who helps us run the service and the choices you have. In short: your data is yours, we do not sell it and we use it only to provide the service you signed up for.

1. Who we are

Keptix (“Keptix,” “we,” “us”) provides client retention software for appointment-based businesses. It analyzes the files you upload, such as appointment exports, and on paid plans helps you send messages to your own clients. This policy applies to the Keptix website and app at keptix.ai.

2. Information we collect

Account information. When you create an account, your email address and basic profile details are collected so you can sign in securely.

Business data you upload.The files you upload (such as appointments, expenses and retail products) and the reports built from them. If your files include your clients’ names, visit history, spend or email addresses, that information is part of your business data.

Sender identity. If you send messages through Keptix, the business name and reply-to email you choose to show on them.

Payment information. When you subscribe, our payment processor collects your billing details. We never receive or store your full card number.

Usage information. Basic technical information such as logs, and counts of how many questions you ask Ari, needed to run, secure and improve the service.

3. How we use your information

We use your information to:

• Provide the service: read your files, build your reports and, when you approve them, send the messages you have reviewed.

• Run your account, process payments and manage your subscription.

• Keep the service secure and reliable.

• Answer your questions and provide support.

We do not sell your data, and we do not use your uploaded business files to advertise to you or to your clients.

4. Companies that help us run Keptix

We use a small number of trusted providers, and each receives only what it needs to do its job:

• Clerk handles sign-in and account security.

• Stripe processes payments and holds your card details. We never store your full card number.

• Vercel and Railway host the website and the app, and Neon stores your account data, uploads and reports.

• Resend delivers the emails you approve and the emails we send you, such as the Monday Briefing.

• Anthropic provides the AI model behind Ari. When you ask Ari a question, the figures from the report you are viewing are sent to Anthropic so an answer can be written. Under Anthropic’s commercial terms, this data is not used to train its models.

These providers act on our behalf and are bound by their own security and privacy obligations.

5. How your clients’ data is handled

If your files contain your clients’ names or email addresses, Keptix uses them only to build your reports and to send the specific messages you review and approve. Your client data is tied to your account, is never visible to other Keptix users and is never sold or shared for anyone else’s marketing. Messages sent through Keptix show your business’s name, and replies go to you.

6. Ari and the Guardian

Two parts of Keptix handle your data in ways worth stating plainly.

Ari is the assistant inside the app. When you ask it something, the figures from the report you are viewing, which can include your clients’ names, visit dates and spend, are sent to Anthropic so an answer can be written. Your questions and Ari’s answers are saved to your account so the conversation continues between visits. You can clear that history at any time from the Ari panel, and clearing it deletes it. We keep only a count of how many questions you have asked, never their content, so plan limits work.

Ari only ever receives your own data. It has no access to any other customer’s business, it cannot browse the internet and it cannot take actions on your behalf.

The Guardian, on the Command plan, checks your client list every day and emails you a weekly briefing. That means we process the client data already in your account even when you are not signed in. That is the feature working. It stops when you downgrade or delete your account, and you can ask us to stop the briefing emails at any time.

7. How long we keep data

We keep your account information, uploads, reports and Ari conversations for as long as your account is active, so the service works and your history is there for you. You can ask us to delete your account and its data at any time (see “Your choices” below). A limited set of records may be kept where the law requires it, for example for tax, or for security.

8. Your choices and rights

• Access and correction. You can view and update your account details in the app.

• Deletion. Email hello@keptix.ai from the address on your account and we will delete your account and its data.

• Cancellation. You can cancel your subscription anytime from the billing portal. See our Terms and FAQ.

Depending on where you live, you may have more rights over your personal data under the law. We honor valid requests to use them.

9. Security

We use reputable providers and sensible technical measures to protect your data, including encrypted connections and secure sign-in. No way of storing or sending data is perfectly secure, but we work hard to protect your information and to limit who can reach it.

10. Children

Keptix is a tool for businesses and is not meant for children. We do not knowingly collect personal information from anyone under 18.

11. Changes to this policy

As Keptix grows, we may update this policy. When we make a material change, we will update the “last updated” date above and, where appropriate, let you know.
