Terms of Service

These terms govern your use of Keptix. We have tried to keep them clear and fair. By creating an account or using the service, you agree to them.
1. The service
Keptix provides client retention software for appointment-based businesses. It analyzes the files you upload and, on paid plans, helps you draft and send messages to your own clients. Keptix is not a licensed accountant, bookkeeper or financial, tax or legal advisor, and nothing it produces is professional advice.
2. Your account
You are responsible for maintaining the security of your account and for activity that occurs under it. You agree to provide accurate information and to keep it up to date. You must be at least 18 years old and able to enter into a binding agreement to use Keptix.
3. Plans, billing, and renewal
Paid plans are subscriptions billed monthly. By subscribing, you authorize our payment processor to charge your payment method for the plan you choose.
Subscriptions renew automatically each month unless you cancel, so your service continues without interruption.
4. Cancellation
You can cancel at any time from the billing portal on your account page. When you cancel, you keep everything you paid for until the end of your current month, and you are not charged again. There are no cancellation fees.
Except where the law requires otherwise, payments already made are not refundable. You are never billed for a month you did not want, because cancelling stops the next renewal.
5. Acceptable use
You agree not to:
• Upload data you do not have the right to use, or use Keptix to send messages in violation of anti-spam or privacy laws.
• Use Keptix to send unsolicited bulk messages to people who have not agreed to hear from your business.
• Attempt to disrupt, reverse-engineer, or gain unauthorized access to the service or its systems.
• Use the service for any unlawful purpose.
You are responsible for the messages you send through Keptix and for complying with the laws that apply to your business and your communications with clients.
6. Your data and content
You keep ownership of the data you upload. You give Keptix the permission it needs to process that data to provide the service to you, for example to read it, analyze it and send the messages you approve. How we handle your data is described in our Privacy Policy.
7. Ari, and automated features
Ari is an assistant, not an advisor. It answers questions about the report you are viewing using an AI model, and like any such model it can be wrong or incomplete. Check anything that matters against the report itself before acting on it, and do not treat its answers as accounting, legal, tax or financial advice.
Ari is limited to your own business data and to helping you use Keptix. It cannot access other customers’ data, browse the internet, or take actions on your behalf. Pulse includes a set number of questions each month. Operator and Command include unlimited questions subject to fair use, which means a daily limit that normal use never reaches. We may also limit automated or abusive use.
The Guardian, on the Command plan, monitors your client list every day and sends you a weekly briefing by email. It works from the data already in your account and does not gather anything new. Delivery depends on email services outside our control, so we cannot guarantee that every briefing arrives. The same information is always available in the app.
Figures such as revenue at risk, at-risk clients, recovered revenue and simulator projections are calculations from your own data, not predictions or promises of any result.
8. Beta service
Keptix is offered in beta and is under active development. Features may change, be added, or be removed, and you may occasionally encounter errors or interruptions. We work to improve the service continuously, but we provide it on an “as is” and “as available” basis.
9. Disclaimers
Keptix helps you understand and act on your business data, but you are responsible for the decisions you make. To the fullest extent permitted by law, Keptix is provided without warranties of any kind, and we do not guarantee that the analysis will be error-free or that outcomes such as revenue or client retention will result from using it. For tax, accounting, legal, and compliance matters, consult a qualified professional.
10. Limitation of liability
To the fullest extent permitted by law, Keptix and its team will not be liable for indirect, incidental, or consequential damages arising from your use of the service. Where liability cannot be excluded, it is limited to the amount you paid for the service in the period giving rise to the claim.
11. Suspension and termination
We may suspend or terminate access for accounts that violate these terms or that create risk or legal exposure for Keptix or others. You may stop using Keptix at any time by canceling your subscription and, if you wish, requesting deletion of your account.
12. Changes to these terms
We may update these terms as the service evolves. When we make material changes, we will update the “last updated” date above and, where appropriate, notify you. Continuing to use Keptix after changes take effect means you accept the updated terms.
